Manage client files as an accountant: live figures, corrections and locking

Managing clients' crypto files used to mean: waiting on exports, emailing back and forth about strange transactions and hoping the figures still add up at filing time. With the renewed client management in Cryptotax, as an accountant you work directly in your client's file, on live figures, with full control from import to locked report.

Live figures, no queue

A managed client file always shows the current state of the calculation. If your client (or you) imports an additional wallet or a new CSV file, you see the result in the file immediately. No separate review step is needed anymore before you can get started: you look at the same live data as the pipeline.

Per file you see, for each tax year, the capital gains, income and the estimated tax due, with the option to drill down to the level of individual tax events.

Corrections with an audit trail

Not every transaction is classified correctly in one go. As an accountant you can make corrections directly on the live data:

  • Individual corrections: change the type, the treatment or even the quantity of an event.
  • Bulk actions: select multiple events at once and mark them as spam, non-taxable or to be ignored, or restore them to the original.
  • Transfer matching: manually link an outgoing and incoming transfer so that a move between your own wallets is not treated as a sale. Read more about transfer matching.
  • Edit history: every correction gets a timeline ("History") so you can always see what was changed and when, and restore earlier versions.

All corrections also end up in a correction log that is part of the locked file. This way it is always defensible afterwards which adjustments were made and why.

Completeness confirmation by your client

A calculation is only as good as the data underneath it. That is why you can request a completeness confirmation from your client per file. The client sees an overview of all submitted accounts and wallets and explicitly confirms that this overview is complete.

The status (requested, confirmed or outdated) is visible in the file. If the client later adds an account or removes one, the confirmation is automatically marked as outdated and you can request a new one. A confirmed attestation is included in the locked report. That is an important piece of file documentation for your liability as a professional.

Locking and reopening the report

Once you are done with the review, you lock the file with a single click on "Lock report". At that moment Cryptotax freezes the entire calculation and generates a package with:

  • the tax report as a PDF, including the return section;
  • the Tax-on-Web codes as CSV;
  • the correction log with all adjustments and their timestamps;
  • the original source CSVs the client submitted;
  • a manifest listing all documents and accounts.

Does a forgotten wallet surface later after all? Then you click "Reopen", process the new data and lock a new version. Earlier versions are preserved.

Deadlines tracked automatically

The accountant dashboard shows the relevant filing deadline (including the agent deadline) with a countdown bar, and gives each file a status chip: on schedule, deadline approaching, late or filed. In addition, you receive an email digest 30, 14 and 7 days before the deadline with the files that still need action. This way no file slips through the cracks during the busy filing period.
